Write the trip brief before opening a search tool

A useful brief separates fixed facts from traveler choices. Fixed facts may include a meeting that ends at 3 p.m., while choices may include the airport, connection length, arrival day, hotel area, and whether a refundable option matters.

Run a work test with a dummy business trip

Give every finalist the same fictional traveler, meeting calendar, route rules, and search deadline. Include an overnight connection, two time zones, a late arrival, a name mismatch, an expired loyalty number, and one option that breaks the written rules.

Ask for an option sheet, itinerary, source time, and questions that block the next step. Score accuracy, time-zone conversion, route logic, writing, privacy judgment, and whether the candidate refuses to guess about identity or travel documents.

Keep one itinerary as the source of truth

The itinerary should show local dates and times, time zones, confirmation status, terminals when known, transfer windows, lodging details, ground transport, meeting locations, and the owner of each open item. Mark searches as unbooked until the client owner confirms that a purchase has been completed.

A clear handoff might say, "The 8:10 a.m. option reaches the meeting city the prior evening and follows the connection rule. The traveler name in the request differs from the approved record, so I stopped before preparing a purchase note and asked the travel owner to confirm it."

Limit access to traveler records

Travel files can contain full legal names, birth dates, document details, phone numbers, schedules, lodging locations, loyalty accounts, and payment records. Give the assistant a named account, turn on multi-factor authentication, limit folder and tool access, and keep account recovery, identity images, card details, and final purchase controls outside the role.[5][6][7][8]

The Philippine Data Privacy Act sets duties around lawful processing, security, transparency, and accountability for personal information. It does not design a company travel process, so the buyer still needs a suitable agreement, written handling rules, training, review, and an incident plan for the records the assistant can reach.[6]
